Last night on MoChat we talked about organizing both our physical workspaces and digital file-keeping. A lot of people admitted they were pretty disorganized on their desk, but took better care of their digital files. Two of the biggest problems facing people on their desk were papers and cord clutter. On the paper front, suggestions included keeping a notebook and using folders/binders for loose papers. Cable management had some interesting solutions including throwing them in a drawer, using a cable organizerbinder clips, or a pegboard with zip-ties.

On the digital front, Post Haste came up a few times to set up projects & folder system, or manually setting up the same. The AE script Folder Setup is another option. Jing is an interesting solution for taking digital notes on screen captures & video. Adobe Anywhere looks promising to many, but we have to wait for pricing. And never label anything “Final”.

Welcome to #mochat tonight everyone! Tonight we’re talking organization.9:00 PM EDT Oct 9th, 2012

Let’s start with a simple question: On a scale of 1-10, how organized are you digitally? Physically? #mochat9:00 PM EDT Oct 9th, 2012

er is there negative numbers for this? #mochat9:00 PM EDT Oct 9th, 2012

digitally? somewhere between a 4 and an 8. physically? -2. #mochat9:01 PM EDT Oct 9th, 2012

Sure. Why not? #mochat9:01 PM EDT Oct 9th, 2012

5-7, 2-4 respectively. #mochat9:02 PM EDT Oct 9th, 2012

actually i’d say 3 I need to work on this from the ground up. just in terms of making digital files easy to come back to #mochat9:03 PM EDT Oct 9th, 2012

Digitally, I’m in the middle. Physically? Uh, I think I had it written down on one of these post-its… one sec… #mochat9:03 PM EDT Oct 9th, 2012

oh ok.. 3 and 0 I got stack of burned DVDs somewhere around here. actually digitally Im getting better I’ll say 5.. #mochat9:04 PM EDT Oct 9th, 2012

That’s often how I feel. Even though I try and keep everything in a notebook. #mochat9:05 PM EDT Oct 9th, 2012

I hate to be “anal” about stuff its totally is counter intuitive to me thinking creatively.. at least that’s what I tell myself. #mochat9:06 PM EDT Oct 9th, 2012

Ha. But having a clean space can help. #mochat9:06 PM EDT Oct 9th, 2012

Going with your physical workspace, how organized is it right now? Does having a clean/organized physical workspace help your work? #mochat9:07 PM EDT Oct 9th, 2012

Im moving to a new desk. mine is spotless. everything else is in boxes at home.. I think theres a desk under here? um yeah its here #mochat9:08 PM EDT Oct 9th, 2012

At work it’s alright. At home, though, I can’t even see my desk. It’s pretty bad. #mochat9:08 PM EDT Oct 9th, 2012

I like a dual monitor setup for my workspace with my timeline on the second monitor. Helps me work quickly with multiple layers #mochat9:09 PM EDT Oct 9th, 2012

I’m the opposite. My home desk is clear, my work desk is a pile of odd cables and paperwork and external drives. #mochat9:10 PM EDT Oct 9th, 2012

It does seem to be a constant battle. #mochat9:10 PM EDT Oct 9th, 2012

Hi guys, just joined…I’m a neat freak digitally/physically but would like to have a better system for accounting & paperwork. #mochat9:11 PM EDT Oct 9th, 2012

About once a month I get fed up with the mess and clean off my desk(s). It stays that way for about 3 days. #mochat9:11 PM EDT Oct 9th, 2012

Ever try the 43 folder method? #mochat9:12 PM EDT Oct 9th, 2012

Every Friday, I like to clean my desk. That way its fresh start of the week. I always take 5-10 minutes to do it. #mochat9:13 PM EDT Oct 9th, 2012

Post haste is cool. #mochat9:13 PM EDT Oct 9th, 2012

#Mochat My workspace is terribly full of microphones, screens, and tablets. Among that I also have art supplies and musical instruments9:13 PM EDT Oct 9th, 2012

What kind of things do people have cluttering their desks? Mostly paper? How do you tame it? #mochat9:13 PM EDT Oct 9th, 2012

clever idea #mochat9:13 PM EDT Oct 9th, 2012

What’s that? #mochat9:14 PM EDT Oct 9th, 2012

I was going to bring that up in a bit. Of course, I’m a tiny bit biased. #mochat9:14 PM EDT Oct 9th, 2012

I bought a paper shredder! #mochat9:14 PM EDT Oct 9th, 2012

I have either a dual or three monitor setup and i like my desks spotless.. i say like… doesnt always happen… #mochat9:14 PM EDT Oct 9th, 2012

My main monitor, I like to have my effects controls next to my composition panel. All my other tools below, & presets to the side. #mochat9:15 PM EDT Oct 9th, 2012

12 folders for months, 31 folders for each day in a month. It’s more a “look ahead’ filing system for things due. #mochat9:15 PM EDT Oct 9th, 2012

Woot.. can it do disks? cd dvds? #mochat9:15 PM EDT Oct 9th, 2012

that sounds painful #mochat9:15 PM EDT Oct 9th, 2012

Here is an example of my workspace in AE besides my timeline on the second monitor. #mochat http://t.co/rpljTYHj9:15 PM EDT Oct 9th, 2012

I use an 8 pocket see through organizer for loose scripts and a bound paper pad for sketching. Keeps everything together. #mochat9:16 PM EDT Oct 9th, 2012

Sketchbooks & “scratchpaper” notes. #mochat9:16 PM EDT Oct 9th, 2012

cables mostly. disks. scripts. er nacho? umm flash drive.. 5eruo note. 580exII manual. did I mention cables? #mochat9:17 PM EDT Oct 9th, 2012

interesting.. wheres the timeline? #mochat9:18 PM EDT Oct 9th, 2012

i hate cable messes the most… drives me bat shit crazy…. #mochat9:18 PM EDT Oct 9th, 2012

If you have an Ikea around you, these are great cable organizers: http://t.co/zHJrGVaV #mochat9:18 PM EDT Oct 9th, 2012

Weirdest thing on my office shelves: someone else’s Emmy, with a stuffed octopus stuck inside the globe. #mochat9:18 PM EDT Oct 9th, 2012

even out of work, im that dad that trolls behind his kids picking stuff up as it drops lol #mochat9:18 PM EDT Oct 9th, 2012

I think talking AE/C4D layout is a great idea… hold those thoughts… #mochat9:19 PM EDT Oct 9th, 2012

Ditto. Does anyone have a GOOD setup for handling a lot of different sorts of external hardware? #mochat9:19 PM EDT Oct 9th, 2012

ikea is the home of the devil #mochat9:19 PM EDT Oct 9th, 2012

I have 2 monitor setup, I try to work off 1 monitor. Since my main workstation is a laptop when Im on travel I dont miss it.. #mochat9:19 PM EDT Oct 9th, 2012

In fact, it can. #mochat9:19 PM EDT Oct 9th, 2012

But that devil is cleverly arranged in a flat-pack box, assembly required. #mochat9:19 PM EDT Oct 9th, 2012

i have drives in a drawer with sticky notes on them so i know what they are, but its a crap setup lol #mochat9:20 PM EDT Oct 9th, 2012

Interesting, is there specific software you use for that? #mochat9:20 PM EDT Oct 9th, 2012

using only 1 monitor is torture #mochat9:20 PM EDT Oct 9th, 2012

This: http://t.co/KHjQXr2O #mochat9:20 PM EDT Oct 9th, 2012

I have a 2 monitor set up, home & work. Since I mainly work with a laptop I use only 1 monitor so I dont miss the space on travel #mochat9:20 PM EDT Oct 9th, 2012

hey i do that! #mochat9:21 PM EDT Oct 9th, 2012

stupid no posting tweetchat.. sorry for the repost. #mochat9:21 PM EDT Oct 9th, 2012

…that’s… BRILLIANT. Now to find clips big enough to fit around the edge of my desk. #mochat9:21 PM EDT Oct 9th, 2012

i made a cell phone holder out of one of those. i can clip it to the vent in the truck! #mochat9:22 PM EDT Oct 9th, 2012

Not sure. Never heard of a digital 43 folder system. I’m sure something is around for that. #mochat9:22 PM EDT Oct 9th, 2012

I used to use a holed particle board with zip ties to bolt all of my cables and drive behind my desk. #mochat9:22 PM EDT Oct 9th, 2012

ill see if i can get to it #mochat9:22 PM EDT Oct 9th, 2012

Pics! #mochat9:22 PM EDT Oct 9th, 2012

Oh the drives. I’ve got at least 12 terabytes worth of externals at any given time. All FireWire so it’s daisy chained. #mochat9:22 PM EDT Oct 9th, 2012

I place bare hard drives in storage cases. & have an external mounter in case I need to get into them. #mochat9:23 PM EDT Oct 9th, 2012

How long do you hold on to dead-tree scripts, treatments, etc after a project is done? #mochat #mochat9:23 PM EDT Oct 9th, 2012

I try to keep all projects and meetings/agendas on my iPad/phone. That way it alerts me, and I never need paper cluttering my desk. #mochat9:23 PM EDT Oct 9th, 2012

About to move on to digital organization… but before we do, got any more clever cable management systems? #mochat9:25 PM EDT Oct 9th, 2012

That’s amazing. Tangled cords drive me insane. #mochat9:26 PM EDT Oct 9th, 2012

I also use Jing to capture screenshots, and settings, that way post-it notes or paper doesn’t pile up on my desk. Its awesome. #mochat9:26 PM EDT Oct 9th, 2012

Ohhh niiiice. #drooolworthy #mochat9:27 PM EDT Oct 9th, 2012

That looks interesting. I might have to try that out. #mochat9:28 PM EDT Oct 9th, 2012

pics using my wifes phone: http://t.co/5tKAolHF #mochat9:28 PM EDT Oct 9th, 2012

rubberbands are for reverse tension #mochat9:29 PM EDT Oct 9th, 2012

Maybe a month. And then if anything surfaces, I look to the archives we have in place for anything like this. #mochat9:29 PM EDT Oct 9th, 2012

it’s nice to think about that much space, till you realize that it’s filled with footage that you still have to edit. #mochat9:30 PM EDT Oct 9th, 2012

So digitally… let’s start with files. How do you stay on top of things there? #mochat9:30 PM EDT Oct 9th, 2012

does it come in Cerulean? cuz I’ll buy one if it does.. #mochat9:30 PM EDT Oct 9th, 2012

LOL tru dat.. #mochat9:30 PM EDT Oct 9th, 2012

Its nice. Saves all your stuff kinda like dropbox. You can put notes, arrows, or draw on it. Highlight. And create links #mochat9:31 PM EDT Oct 9th, 2012

A bit biased, but is awesome: http://t.co/mzCbYkFj #mochat9:31 PM EDT Oct 9th, 2012

if you can find that color clip hahahaha #mochat9:31 PM EDT Oct 9th, 2012

Downside is then I take up screen real estate having them open to reference while I’m working. #mochat9:31 PM EDT Oct 9th, 2012

I always take the time to organize my project window b4 starting anything. Huge time saver/headache preventer #mochat9:31 PM EDT Oct 9th, 2012

We use PostHaste on an XSAN at work. Keeps everyone on the same page #mochat9:32 PM EDT Oct 9th, 2012

I need to focus on using posthaste more. I heard some schmoe made it. er Oh wait.. nevermind. 8 ) #mochat9:32 PM EDT Oct 9th, 2012

Seriously take a look at Post Haste. You can create template projects & folder structures that get set up for you. #mochat9:32 PM EDT Oct 9th, 2012

RT : A bit biased, but is awesome: http://t.co/9KDEZ9BG #mochat9:33 PM EDT Oct 9th, 2012

Also, can’t stick them to wall. 🙂 #mochat9:33 PM EDT Oct 9th, 2012

For projects, I keep an unnamed folder with a folder hierarchy in my work folder. Duplicate & rename it when I have to #mochat9:33 PM EDT Oct 9th, 2012

No. You’re right. The original “developer” is a total schmuck. 😉 #mochat9:33 PM EDT Oct 9th, 2012

RT : RT : A bit biased, but is awesome: http://t.co/9KDEZ9BG #mochat9:33 PM EDT Oct 9th, 2012

I guess that is true. So it comes down to to preference. Screen real estate. Or your desk. #mochat9:33 PM EDT Oct 9th, 2012

will definitely check that out. On aescripts? #mochat9:33 PM EDT Oct 9th, 2012

im gonna have to check that out #mochat9:34 PM EDT Oct 9th, 2012

Seriously. Post Haste is made for you. (Literally, actually.) #mochat9:34 PM EDT Oct 9th, 2012

RT : …take a look at Post Haste. You can create template projects & folder structures… http://t.co/9KDEZ9BG #mochat9:34 PM EDT Oct 9th, 2012

Posted a link a bit earlier, but for convenience: http://t.co/mzCbYkFj #mochat9:34 PM EDT Oct 9th, 2012

RT : A bit biased, but is awesome: http://t.co/mzCbYkFj #mochat9:34 PM EDT Oct 9th, 2012

awesome, thanks for the heads up! #mochat9:35 PM EDT Oct 9th, 2012

#mochat is it Mac only?9:35 PM EDT Oct 9th, 2012

Been doing the manual version of post haste for years. Have my template hierarchy which I just dupe. #mochat9:35 PM EDT Oct 9th, 2012

Looks like Posthaste is King! I will have to give it a further look. #mochat9:36 PM EDT Oct 9th, 2012

For those wondering… I’m biased because I wrote the original Post Haste. Handed it off to the talented for 2.0 and on. #mochat9:36 PM EDT Oct 9th, 2012

#mochat I don’t know about you, but Adobe Anywhere is going to change my world. with 3 of us and 1 is remote, its hard to keep it organized9:36 PM EDT Oct 9th, 2012

Nope. worked his voodoo to make it work on Windows, too: http://t.co/mzCbYkFj #mochat9:36 PM EDT Oct 9th, 2012

One thing Ive started doing.. is not putting “final” on my renders, just number of renditions, or This_is_the_new_final_final #mochat9:36 PM EDT Oct 9th, 2012

that is just going to make you kill yourself later on #mochat9:37 PM EDT Oct 9th, 2012

Movie_Final_v4_copy_revised_RealFinal_2_3_4.mov #mochat9:37 PM EDT Oct 9th, 2012

#mochat i go with “proof1,proof2, near final1,near final2,etc.,”9:37 PM EDT Oct 9th, 2012

do tell.. #mochat9:38 PM EDT Oct 9th, 2012

I’m really curious about how that will work out in real-world practice. #AdobeAnywhere #mochat9:38 PM EDT Oct 9th, 2012

#mochat any advice for multiple people working on projects?9:38 PM EDT Oct 9th, 2012

RT : Movie_Final_v4_copy_revised_RealFinal_2_3_4.mov #mochat9:38 PM EDT Oct 9th, 2012

Its funny.. cuz its true.. #mochat9:39 PM EDT Oct 9th, 2012

#mochat someone’s actually developing a script for that on the AE email list. Ill see if i can find a link.9:39 PM EDT Oct 9th, 2012

Yeah, never put ‘final’ in your file names thats just jinxing it #mochat #superstious9:39 PM EDT Oct 9th, 2012

Different roles (assistant, offline, online, graphics, colorist) or all similar/same roles? #mochat9:39 PM EDT Oct 9th, 2012

I’m curious about price and availabilty #mochat 9:39 PM EDT Oct 9th, 2012

The real challenge is inheriting a project that’s disorganized. #mochat9:39 PM EDT Oct 9th, 2012

#NameYourLayers! #mochat9:40 PM EDT Oct 9th, 2012

We’ve said that we’re targeting 2013. No pricing information yet. #mochat9:40 PM EDT Oct 9th, 2012

the best is getting a project with 100+ layers with ‘layer 1’ or 20 of them are ‘solid’ #mochat9:41 PM EDT Oct 9th, 2012

What about archiving when you’re done with projects? Do you clean up the project files, or leave them as-is? #mochat #mochat9:41 PM EDT Oct 9th, 2012

just get it out and shut up and take my money lmao #mochat9:41 PM EDT Oct 9th, 2012

#mochat i normally keep it live for a month after sign off, then collect files on rendered comps, then archive ghe collected folder.9:42 PM EDT Oct 9th, 2012

similar roles, but i’m the boss of them all 🙂 right now one guy is in office half time, the other is remote full. #mochat9:42 PM EDT Oct 9th, 2012

i transfer everything to folders for the completed project. separate from the working project. #mochat9:42 PM EDT Oct 9th, 2012

It all comes down to the project panel folder setup for me. It has to be the same across the board for efficiency. #mochat9:43 PM EDT Oct 9th, 2012

Wish I had time to clean them up, but I’m usually pretty organized as I go unless under a real time crunch and scrambling #mochat9:43 PM EDT Oct 9th, 2012

When you use Collect Files, do you use Reduce Project? Consolidate Footage? #mochat9:43 PM EDT Oct 9th, 2012

So you guys don’t really keep works-in-progress archived? #mochat9:43 PM EDT Oct 9th, 2012

#mochat i go down the list as it’s shown in the file menu, consolidate by having my comps selected, then reduce, then collect.9:44 PM EDT Oct 9th, 2012

I mean to say that we have a process of file setup up and folder structure in place between all employees to follow. #mochat9:45 PM EDT Oct 9th, 2012

I reduce project… however what consolidate footage do.. and dont say CONSOLIDATES FOOTAGE! #mochat9:45 PM EDT Oct 9th, 2012

#mochat i use dropbox for that. All my live projects are on dropbox.9:45 PM EDT Oct 9th, 2012

At work, we almost never reduce project. Everything is organized with PostHaste to an XSAN and old files are backed up to LTO #mochat9:45 PM EDT Oct 9th, 2012

And with that process, we can easily hand off projects between coworkers to add upon or finish the work. #mochat9:45 PM EDT Oct 9th, 2012

I just started looking at post haste and this looks like the way to go #mochat9:45 PM EDT Oct 9th, 2012

every time you use Posthaste a puppy gets its wings. #mochat9:46 PM EDT Oct 9th, 2012

any favorite scripts/whatnot to keep an AE project organized? #mochat9:47 PM EDT Oct 9th, 2012

old place of work had SAN where active projects lived, nearline for 6-8 month olds and LTO for everything else. no reduction. #mochat9:47 PM EDT Oct 9th, 2012

True Comp Duplicator is nice for revising/versioning. #mochat9:48 PM EDT Oct 9th, 2012

Yeah, I just learned about it today myself, and I think I am going to try and get my work to implement this too. #mochat9:48 PM EDT Oct 9th, 2012

c o n s o l i d a t e FOOTAGE #mochat9:49 PM EDT Oct 9th, 2012

One thing you can do is have the template live on a network volume. Consistency. #mochat9:49 PM EDT Oct 9th, 2012

Consolidate All Footage removes duplicate footage items and links all layers to the one instance of the source item left. #mochat9:49 PM EDT Oct 9th, 2012

Folder Setup.jsx and my folder setup http://t.co/8hxrapwl #mochat9:49 PM EDT Oct 9th, 2012

So we’re unfortunately getting short on time. Anyone have specific questions about organizing in specific programs? #mochat9:50 PM EDT Oct 9th, 2012

You know… specifically? #mochat #DepartmentOfRedundancyDepartment9:50 PM EDT Oct 9th, 2012

RT : So we’re unfortunately getting short on time. Anyone have specific questions about organizing in specific programs? #mochat9:51 PM EDT Oct 9th, 2012

when you bring back a prerender into the comp, do you: replace the source comp, dupe & replace dupe, something else? #mochat9:51 PM EDT Oct 9th, 2012

Ah yes! True. We set templates up as well from time to time, which always is a good idea. #mochat9:51 PM EDT Oct 9th, 2012

I try to use proxies. #mochat9:52 PM EDT Oct 9th, 2012

Does anyone have an AE template they’d be willing to share for project organization? #mochat9:52 PM EDT Oct 9th, 2012

RT : Does anyone have an AE template they’d be willing to share for project organization? #mochat9:53 PM EDT Oct 9th, 2012

I usually use proxies too, though I’m not really sure the advantage of them over prerenders. #mochat9:53 PM EDT Oct 9th, 2012

I can post mine up tomorrow morning. #mochat9:53 PM EDT Oct 9th, 2012

I usually dupe and replace dupe. I find proxies fidly because I often want prerenders to be used for finals. #mochat9:53 PM EDT Oct 9th, 2012

all archived projects are cleaned up and optimized … it saves your sanity if you ever have to go back #mochat9:53 PM EDT Oct 9th, 2012

Ability to easily go back to using the comp at render time. Easy linking in-place after render. #mochat9:54 PM EDT Oct 9th, 2012

#mochat can you use a proxy for a comp replacement?9:54 PM EDT Oct 9th, 2012

The G+ Hangout is going to start between 9:15 and 9:30 MDT tonight (20-30) minutes so we can take a breather after #Mochat.9:55 PM EDT Oct 9th, 2012

whoever said we were sane to begin with:) #mochat9:55 PM EDT Oct 9th, 2012

I’m with you on that. every precomp that’s pretty locked down, i’ll prerender and use as source #mochat9:55 PM EDT Oct 9th, 2012

what is this word you use… this… ‘sanity’ i am not familiar with its concepts #mochat9:56 PM EDT Oct 9th, 2012

Link me on that. I would like to see your setup please. #MOCHAT9:56 PM EDT Oct 9th, 2012

OK then, where is your timeline? #mochat9:57 PM EDT Oct 9th, 2012

#mochat btw, anyone else been up since Friday morning?9:58 PM EDT Oct 9th, 2012

I think he said on the second display. #mochat9:58 PM EDT Oct 9th, 2012

Ohhhhhhh right right right right… #mochat9:58 PM EDT Oct 9th, 2012

Well, that just about does it for tonight’s #mochat. Any last words of wisdom to share?9:59 PM EDT Oct 9th, 2012

Yeah Ronn… Jeeezzzz! #mochat9:59 PM EDT Oct 9th, 2012

bacon! #mochat9:59 PM EDT Oct 9th, 2012

Ronn used to have a timeline like you, then he took an arrow in the knee #mochat10:00 PM EDT Oct 9th, 2012

Thank you mochat, for the sweet gem that is Posthaste. #mochat10:00 PM EDT Oct 9th, 2012

hush.. #mochat10:00 PM EDT Oct 9th, 2012

Thanks, bro-shots! See ya next week! #mochat10:01 PM EDT Oct 9th, 2012

I dont like RagingClaw… can that be words of wisdom? 8) #mochat10:01 PM EDT Oct 9th, 2012

cuz I wuvs him awww #mochat10:02 PM EDT Oct 9th, 2012

you didnt actually mention me… i think that was on purpose…. anger, hatred… these things lead to the dark side #mochat10:02 PM EDT Oct 9th, 2012

Alright everyone. Thanks for coming out for #mochat! We’ll post the transcript tomorrow. And as always, #GoMakeSomething.10:03 PM EDT Oct 9th, 2012

thanks again! #mochat #GoMakeSomething10:04 PM EDT Oct 9th, 2012

Thank you always something to learn & share with. #GoMakeSomething #mochat10:04 PM EDT Oct 9th, 2012
